Improving Operational Efficiencies with Integrated Management Systems

Organizations have used ISO or equivalent standards and guidelines to develop and implement effective systems for managing various aspects of operations including:

  • Quality
  • Environment
  • Occupational health & safety
  • Business continuity
  • Social responsibility
  • Materials management

Implementing Management Systems

One of the burdens of multiple standards with similar subject areas is trying to avoid duplication of efforts, contradicting processes, and inefficiencies. With its latest iterations of standards, ISO has followed the “Annex SL” approach to group similar aspects of the standards together and follow the same workflows.  Annex SL facilitates better integration of the various ISO systems, thereby improving efficiencies and reducing confusion.

Due to significant areas of overlap in system components, an ISO 14001 Environmental Management System (EMS) can be readily integrated with an ISO 45001 Occupational Health and Safety Management System (HSMS) and is typically much more effectively implemented with this approach. Quality management systems (QMS) also share many components with EMS/HSMS. 

Using similar or the same approaches for document management, internal auditing, and management review and business integration can greatly facilitate implementation and ongoing maintenance of QMS/HSMS/EMS systems.

Pitfalls to Avoid

Sometimes the initial driver for establishing these systems at an organization may be a customer or other important stakeholder demand for systems to be implemented and registered to one or more ISO standards. 

In the initial rush to meet a deadline for certification, systems can sometimes be set up for purposes of “checking the boxes” of the various requirements of an ISO standard without necessarily creating value for managing related operations (and in fact may be set up in such a way that creates additional unnecessary burdens for resources, time constraints and bureaucracy).  

Unfortunately, this approach misses the intent of the standard and more importantly loses out on the potential positive opportunities for improving operational efficiencies and effectiveness.
